Position Overview:
We are hiring an Office Administrator / Project Coordinator to support our growing team. You will manage daily office operations, assist project managers with administrative tasks, and be the first point of contact for customers and vendors.
Responsibilities:
- Manage daily office operations including phones, mail, filing, and supplies
- Support project managers with scheduling, documentation, and correspondence
- Process accounts payable and receivable; assist with payroll preparation
- Maintain project files, contracts, permits, insurance certificates, and lien releases
- Coordinate with subcontractors and suppliers on scheduling and deliveries
- Greet customers and visitors; provide excellent front-desk customer service
- Prepare and distribute meeting agendas, minutes, and project reports
- Manage company fleet records, licensing, and registrations
- Assist with bid preparation and proposal formatting
- Maintain the company's CRM and project management database
Qualifications:
- 1-3 years of administrative experience, preferably in construction or a related field
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
- Experience with QuickBooks or similar accounting software preferred
- Strong organizational skills and attention to detail
- Excellent verbal and written communication skills
- Ability to multitask and prioritize in a fast-paced environment
- Professional demeanor and positive attitude
- Knowledge of construction terminology and processes is a plus
