This is a hybrid position requiring an on-site presence 3 to 4 days per week. Please note that the number of days on-site can increase based on business needs.
The Entity Management Specialist supports the governance and compliance of Sysco’s U.S. legal entities. Reporting to the Global Entity Manager, this role is responsible for executing required filings, maintaining accurate corporate records, and ensuring entities remain in good standing across all jurisdictions. The role partners closely with the Global Entity Management team and cross-functional stakeholders to respond to inquiries, manage changes, and uphold the integrity of entity data.
Key Responsibilities
Corporate Compliance & Filings
Manage the preparation, review, and submission of annual reports in partnership with CSC and internal stakeholders, ensuring accuracy and timeliness
Execute ad hoc state filings, including new entity qualifications and other jurisdictional requirements
Prepare and process event-driven documentation (e.g., officer/manager appointments and resignations, dividend declarations), including related filings
Entity Management & Records
Maintain and update corporate records to ensure completeness, accuracy, and audit readiness
Oversee the lifecycle of DBA registrations, including new registrations, renewals, and terminations
Monitor Corporate Tracking Service notifications from CSC and determine required actions to maintain entity good standing
Stakeholder Support & Inquiry Management
Serve as a primary point of contact for internal inquiries related to U.S. entities, including requests for corporate documents, officer/director information, and entity data
Partner with internal teams, external vendors (CSC), and Secretary of State offices to resolve issues and ensure compliance
Licensing & Regulatory Support
Prepare and submit PACA license renewals, including updates as needed, through the USDA ePACA portal
Qualifications
Experience
Minimum of 3 years of experience in a corporate, legal, or law firm environment supporting entity management or corporate governance
Experience managing multi-state filings and corporate compliance activities preferred
Education & Certifications
Bachelor’s degree preferred
Paralegal certification from an ABA-accredited program preferred
Current notary commission (Texas) preferred

Strong attention to detail with a high degree of accuracy
Ability to manage multiple priorities and meet deadlines in a fast-paced environment
Effective communication skills with the ability to engage stakeholders at all levels
Strong organizational skills and ability to maintain structured, reliable records
Work Environment
Based in the Global Support Center in Houston, Texas
Up to 20% travel may be required to Sysco facilities or operating companies
Standard office environment with moderate noise levels
