Privacy Policy
Effective Date: January 2nd, 2025
Last Updated: July 19th, 2026
Beaverhand Inc. ("Beaverhand", "we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you participate in interviews or use services through our platform.
1. Information We Collect
We collect personal information that you provide directly to us and data generated during your use of our services.
A. Information You Provide
- Full name, email address, phone number, and resume/CV.
- Responses during job interviews or assessments.
- Other information you voluntarily submit as part of your application.
B. Audio-Visual and Screen Content
With your express consent, we may collect:
- Webcam feed (video and audio) during interviews.
- Screenshare content, including any visual data shown during your session.
These recordings may contain personal or sensitive data. By consenting, you allow us to collect and use this data solely for the purposes stated below.
2. Purpose of Collection and Use
We use your information for the following purposes:
- To conduct and assess job interviews and candidate suitability.
- To maintain a secure, transparent, and fair recruitment process.
- To evaluate your communication, presentation, and technical skills.
- To improve the accuracy of our own assessment models (see below).
- To comply with legal obligations and protect our rights.
We do not use your interview data for marketing purposes.
Use of recordings to improve our assessment models
We use interview screen recordings and webcam recordings to train and improve our own proprietary assessment models. This is how the platform gets better at accurately describing what a candidate actually did during an assessment.
- Webcam footage is used only to learn behavioural signals such as presence, attention and whether another person is in frame. We do not extract, derive or store facial geometry, face templates or any other biometric identifier, and we do not use this footage to identify you.
- Our third-party speech and language providers do not train their models on your data.
- We do not sell your data, and we do not share one customer's candidate data with another customer.
- You can opt out of having your recordings used for model training by emailing privacy@beaverhand.com. Opting out does not affect your interview or how it is assessed.
- If you request deletion, we delete your source recordings and stop using them for any future training. Models that have already been trained are not reverted, as individual recordings cannot be extracted from a trained model.
3. Legal Basis for Processing (GDPR Compliance)
Under the General Data Protection Regulation (GDPR), we rely on the following legal bases:
- Consent - You give clear permission to process your webcam and screen data for interview purposes.
- Legitimate Interests - To assess job applicants fairly and efficiently.
- Legal Obligation - To meet compliance, fraud prevention, or security requirements.
You may withdraw consent at any time by contacting us at: privacy@beaverhand.com.
4. California Consumer Privacy Act (CCPA) Rights
If you are a California resident, the California Consumer Privacy Act (CCPA) grants you the right to:
- Know what personal data we collect, use, and disclose.
- Request deletion of your personal information.
- Opt out of the sale of personal information (we do not sell your data).
- Not be discriminated against for exercising your rights.
To submit a request, please email: privacy@beaverhand.com.
6. Data Retention
We retain personal data only for as long as necessary:
- For recruitment and evaluation.
- To comply with legal obligations.
- Or until you request deletion.
By default, interview and assessment data, including recordings, is retained for 12 months. Enterprise customers can agree a custom retention period, and you can request earlier deletion at any time.
Where recordings have been used to improve our assessment models, deletion removes the source recording and excludes it from any future training. See Use of recordings to improve our assessment models.
7. Data Security
We implement technical and organizational safeguards, including:
- Encryption of interview data in transit (TLS 1.3) and at rest (AES-256).
- Role-based access controls to limit who can view your recordings.
- Internal security reviews of our systems and providers, with controls mapped to the SOC 2 Trust Services Criteria.
However, no method of data transmission is 100% secure. You acknowledge and accept this risk when using our platform.
8. Your Rights
You have the right to:
- Access the data we hold about you.
- Request corrections or deletion of your information.
- Withdraw consent at any time.
- File a complaint with your local data protection authority.
To exercise these rights, contact: privacy@beaverhand.com
9. International Data Transfers
If you are located outside of the United States, your information may be processed and stored in countries where data protection laws differ. We take appropriate safeguards to protect such transfers under GDPR (e.g., Standard Contractual Clauses).
10. Consent
Before an interview begins, you will be asked to affirmatively consent to the collection and processing of your:
- Webcam video and audio feed
- Screenshare data
Consent will be recorded and stored as part of our compliance documentation.
11. Children's Privacy
Our services are not intended for children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact privacy@beaverhand.com and we will delete it.
12. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. Material changes will be communicated via email or platform notifications. Continued use of our services after updates constitutes acceptance.
